Mail and iGTD Screencast

I’ve done a quick screencast demonstrating my current, simplified system for creating tasks using Mail.app. I use Mail.app, iGTD and MailTags in the screencast to create tasks and archive important emails with links back to the original emails. I’m new at the screencasting thing, so forgive my amateur approach…

I’m finishing up a screencast for Jott2iGTD2 and planning to do one for my Mail.app and iGTD setup next. I’m on a roll. I got Jott2iGTD2 finished up today, complete with a new icon and installer package. It should be online shortly, I just have to finish rendering the screencast and typing up the documentation. I’m having fun with my Blue Snowball Microphone. This thing is killer.

In order to make the most out of my iGTD system, I’ve been learning to use its email integration features as my only organization system for emails/todos. I was previously using a combination of Mailtags and smart folders to create an email sorting system based on a GTD workflow. Now I use iGTD to categorize and tag all of my emails and more effectively integrate them into my action list…

Circle Six GTD Redux

After 1 week of implementing my new productivity system I’m pleased to report that I’m more productive than I’ve ever been in my life. I’ve made a few minor tweaks that I’ll detail, but the system itself, based mostly on tips and tricks I collected around the net, has served me extremely well. When I first implemented it my inbox got so huge that I felt overwhelmed, but I spent the necessary time processing and then took on my tasks one ata a time and got through an amazing amount of work (and even some play) this week. So here is another look at the system…

Smarter Mailboxes

So I’ve run into a bug with my system already. First, I found out that you can hack the SmartMailboxes.plist file in your Library/Mail directory and change the IMAPMailboxAttributes of a smart folder from 18 to 16 and it becomes editable. So I set conditions to have it display my unread inbox (minus the spam folder) and my tickler file (MailTags due date before 1 days from today). But, if there aren’t any tickler messages displayed, it won’t show unread messages either. If there’s even one tickler message, everything is fine. I found another person asking this question on the forum, but no answers. Until someone comes up with a better solution or fixes the bug, here’s my answer. Send yourself a message with the subject “Placeholder” and set a due date of 1/1/2006 on it. Depending on how your box is sorted, it should stay at the bottom and will keep your Smart Folder working as an all-purpose GTD Inbox.

I’m going to document my current strategy for organization, roughly based on GTD principles, and then update it after a week of heavy testing. To be very honest, I haven’t read David Allen’s book and probably won’t, although if this system works at all I might find enough time to do it ;-). This system was devised with generous heapings of help from postings at Hawkwings and 43 Folders, the authors of which I consider to be serious productivity gurus. So what follows is not their fault, but if you like it, they get a good portion of the credit. That’s fair, right?
